Field Trip FAQs


Q: How can chaperones make my CMoR field trip successful? 

A: 

  • Each chaperone can be responsible for up to five children.
  • Chaperones must be able to see all of the children who have been assigned to their care at all times.
  • Please visit each exhibit as a group. Have students take turns when choosing exhibits.
  • Please silence and refrain from using your cell phone.
  • Be prepared to participate in the students’ learning experience. The museum educator may ask chaperones to assist while students participate in program activities.
Q: My school is requesting an invoice for this visit in order to make the payment. How do I go about receiving an invoice? 

A: The attachment on your initial confirmation letter can serve as an invoice. However, if the student number has changed since your booking, please contact the Education Coordinator at education@c-mor.org to request an updated confirmation letter.

Q: Do I need to submit the Scholarship Application prior to booking my CMoR Field Trip? 

A: Yes, to receive a discounted, scholarship rate on the day of your visit, we must receive your scholarship application at least two weeks prior to the date of your reservation.  This time frame allows the Education Coordinator ample time to process Scholarship Applications and to update invoices with any applicable discounts. If you need to request additional time for the completion of your application, please notify the Education Coordinator at education@c-mor.org.

Compliance reasons require that scholarship applications be received from qualifying schools each year, regardless of whether or not there has been a change in status from the former year. The application can be found by clicking on the blue button indicating “Scholarships & Grants” at: http://c-mor.org/full-menu/field-trips/.

Q: Do chaperones pay admission? 

A:  You will receive a set number of free chaperones. The number of required chaperones for your visit is based on the total number of children that attend on the day of your visit.

If there are additional chaperones (adults, parents, caregivers, etc.) above the required safety ratio, those adults will pay the same admission price as the student rate that is indicated on your confirmation letter. However, if additional siblings or children attend, those children will be required to pay the daily admission price of $9 per child, regardless of the rate listed on the letter.

Q: How early in the school year can I reserve a field trip? 

A: We begin accepting Field Trip reservations on August 1 for the following school year.

Planning Your Field Trip


General Information

 The Children’s Museum of Richmond offers Field Trip programs for students pre-kindergarten through 3rd grade. These programs are offered at our Central, Chesterfield, and Fredericksburg locations and are aligned with Virginia Standards of Learning, NAEYC Standards, and Foundation Blocks for Learning. They are designed to inspire students through hands-on activities, which include literacy and art components. 

  • Field Trips are $9.00 per child

Field trip visits include an educational program with one of our highly qualified educators, in addition to unlimited exploration time on the museum floor.

  • A minimum of 10 children is required for a reservation.

For example: If only seven children attend a Field Trip or Group Visit, you will be responsible for paying the rate of 10 children. 

  • The reservation process starts online

Due to compliance requirements, all field trip requests must be completed using our online form. We are not able to accept reservations via phone.

  • Scheduling multiple visits?

If you are interested in scheduling multiple visits, one form must be submitted for each prospective date.

  • All teachers/aides are free
  • Groups receive a set number of free chaperones

  • Extra Chaperones

If there are additional chaperones (adults, parents, caregivers, etc.) above the required safety ratio, those adults will pay the same admission price as the student rate that is indicated on your confirmation letter/invoice. However, if additional siblings or children attend that are not part of the school group, those children will be required to pay the daily admission price of $9 per child, regardless of the rate listed on the letter.

  • Groups must meet our safety ratio

You will be required to meet our Safety Ratio of one adult for every five children. This ratio can be comprised of all teachers/aides or a combination of teachers/aides and parents, caregivers, etc.. Please be reminded that it is the responsibility of the teachers supervising the visit to make prior arrangements to ensure the required Safety Ratio is met on the day of your visit. Our Education Department can make the determination to cancel any or all portions of the trip, if the Safety Ratio is not adequately filled.

  • Scholarship Application Pending?

The costs indicated on your invoice can change upon the completion and subsequent approval of our Scholarship Application. The application can be found by clicking on the blue button indicating “Scholarships & Grants” at: http://c-mor.org/full-menu/field-trips/.

  • Not interested in an educator-led, SOL-aligned program?

Free exploration without a program is called a Group Visit, and the cost is $8.00 per child. The Group Visit request form may be found on the Field Trip menu next to the ‘Available Programs’ button. The Safety Ratio also applies to Group Visits.

  • Siblings

if additional siblings or children attend that are not part of the school group, those children will be required to pay the daily admission price of $9 per child, regardless of the rate listed on the letter.

 

Step 2: To reserve your trip, gather the following information to enter in our online reservation form

  • Name of School
  • School District
  • Title 1 Status
  • Name and Contact Information for the teacher requesting the reservation
  • Total Number of Students that will be attending on the day of your visit
  • Grade Level(s)
  • Special Accommodations needed for your students
  • Requested program selections (1st and 2nd preference – see Step 3)
  • Requested date for visit (1st, 2nd, and 3rd, preference)
  • Arrival and Departure Time
  • Requested Location (Central, Chesterfield, or Fredericksburg)
  • Any additional information you’d like for us to us to know, or any questions you might have

 

Step 3: Select Your Program!

Find descriptions of our programs here.  All programs are aligned with the Virginia Standards of Learning, NAEYC Standards and the Virginia Foundation Blocks for Learning. Programs last approximately 30 – 45 minutes. Each child leaves with a take-home product related to their lesson. Please note that Adventures in Ancient China, Lives of the American Indians, and Mapping Ancient Egypt can only accommodate approximately 2-3 classes of students per day. Our other programs can accommodate full grade levels.

Step 4: Submit your Field Trip Request Form!

  • Filling out the online form

To reserve your field trip click here – and click on the red button that says “Start your Reservation.” Please be sure that all requested fields have been completed. If there are any accommodations needed by your students or chaperones, please let us know and we are happy to assist you! If your form went through successfully, you should receive a email from us within 5 minutes.

  • How long does it take?

Once the Field Trip Request Form has been submitted, please allow up to TWO weeks for us to process your reservation.

  • I submitted the form… Are we all set?

Your field trip is not booked until you have received a confirmation letter from CMoR via email. There will also be an attachment on your confirmation letter that gives a detailed breakdown of your visit and can serve for invoicing purposes. When you receive your confirmation letter, please be sure to take note of the date of your visit, as it is not always your “first choice of dates.” The confirmed date of your visit can be found on the attached confirmation letter.

  • I received an email with my attached confirmation letter

Great – your visit is reserved! Once you have received your confirmation letter, we request that you read and review our policies and procedures prior to your visit. Please be reminded that if you will not be accompanying the group, it is the responsibility of the trip organizer to forward the confirmation letter to the appropriate staff member(s), who will be attending.

 

Step 5: Getting Ready for your Field Trip!

  • 1:5 Safety Ratio

The Children’s Museum has a strictly enforced safety ratio of one adult for every five children. If the Safety Ratio is not met, access to the museum and any scheduled programs may be denied. Please be sure to share this with any teachers who will be attending. Visiting schools receive one free chaperone for every five students who attend, which means there is “no cost” to meeting our ratio. The required number of adults required to meet the Safety Ratio can be found on your confirmation letter and is noted as “Adults Required.”

  • Chaperones

Teachers are always free. This includes classroom aides or administrative staff. If there are additional chaperones (adults, parents, caregivers, etc.) above the required safety ratio, those adults will pay the same admission price as the student rate that is indicated on your confirmation letter. However, if additional siblings or children attend, those children will be required to pay the daily admission price of $9 per child, regardless of the rate listed on the letter.

  • Scholarships

Your field trip costs could change upon receipt of a completed and approved scholarship application for the 2016-2017 school year. Compliance reasons require that scholarship applications be received from qualifying schools each year, regardless of whether or not there has been a change in status from the former year.   • Checking In

The Education Coordinator will send an email to the contact listed on the Field Trip Request form to confirm logistics and answer any questions or concerns the staff may have. A reminder email will be sent approximately one week prior to your visit.

 

Step 6: Arriving at the Children’s Museum

  • Greeting

Once at the Children’s Museum, our educators will greet your lead teacher, escort the students into the building, and direct the bus drivers to the proper parking areas (which is also noted on your confirmation letter).

  • Late Arrivals

Arriving late to your designated program time may result in a shortened or cancelled program, to be determined by the Education Coordinator. In the event of a cancelled program, you would receive a refund* of any prepaid funds to match the group visit rate. *Refunds are not available to groups who arrive without the appropriate number of adults for our 1:5 safety ratio.

  • Payment

Payment is due on the day of your visit. Please note that we only accept one form of payment per reservation. We accept all major credit cards, cash, and checks.  A minimum of 10 children is required for a reservation; therefore payment must include funds for a minimum of 10 children. For example: If only seven children attend a Field Trip or Group Visit, you will be responsible for paying the rate of 10 children. Please note that member privileges do not apply to Field Trip or Group reservations.

  • Absent Students

We realize that the number of students attending can vary. You will only be charged for the number of students in attendance, not the number on your confirmation letter.  A minimum of 10 children is required for a reservation; therefore payment must include funds for a minimum of 10 children. For example: If only seven children attend a Field Trip or Group Visit, you will be responsible for paying the rate of 10 children. Please note that member privileges do not apply to Field Trip or Group reservations.

  • Lunch

You are welcome to bring lunches into the museum. All locations offer first-come, first served eating space. Groups typically eat picnic-style on provided tablecloths in the lobby. CMoR asks that you be respectful of children’s food allergies and tidy up as best you can.

  • Photo Video Release

Please know that upon entering CMoR, you and your children may be photographed or filmed by our staff members.
